REQUEST NO. 117:
Please explain and provide supporting documentation for the “File Relocation plan”
found on the list of pro forma projects. Please include any cost benefit analyses and approvals
for the project.
RESPONSE NO. 117:
The file relocation plan project developed a naming convention for scanning paper files to
electronic files, and then scanned the paper engineering files going back to 1969 into a searchable
electronic format. The scanning was done for several reasons – 1) the paper files take up a lot of
space and are heavy, 2) in preparation for our upcoming office remodel, these filing cabinets
needed to be removed, 3) with the onset of more remote work, paper files in the office were
difficult for employees to access and search, 4) the paper was becoming aged and brittle, and
scanning the papers preserved these important facility documents.
The project was approved as part of the Victory Office Phase 1 Remodel. Project approvals
are attached.
